Mark daily attendance (QR / biometric / manual)

Three ways to mark a roll-call — pick whichever fits your classroom flow on a given day.

  1. Open Dashboard → Attendance → Today. Your assigned class for the current period loads automatically.
  2. For QR mode, tap Display QR on the smart-board — students scan it with their Ketpy app, attendance flips green in real time.
  3. For biometric mode, plug in the fingerprint reader and tap Start scan. Each tap-in marks present.
  4. For manual mode, swipe right on each name to mark Present, left for Absent, or tap-hold for Late / On leave / Half day.
  5. Tap Submit attendance — auto-SMS goes to parents of absent students (if the school has enabled DLT alerts).

Tip

Late arrivals in the same period? Go back to <strong>Today's attendance</strong> and update the status — Ketpy keeps a versioned log for the audit trail.

Assign homework with attachments

Push assignments to a class, a section, or specific students — with PDFs, worksheets, or video references.

  1. Go to Dashboard → Homework → + New assignment.
  2. Pick the Class, Section, and Subject. Use Assign to specific students if it is remedial work.
  3. Add a clear title, instructions, and the Due date & time.
  4. Attach reference files using + Add files — PDFs, DOCX, JPG up to 25 MB each.
  5. Toggle Late submission allowed if you want a grace window after the deadline.
  6. Tap Publish. Students and parents get a push notification within seconds.

Enter exam marks (bulk import + grid)

Two fast ways to enter marks for an entire class — pick the grid for small classes, Excel import for large ones.

  1. Open Dashboard → Examinations → Marks entry. Choose the exam (e.g. Term 1, FA-2) and the subject.
  2. The Grid view lists every student as a row with mark boxes per section (theory, practical, internal). Use Tab to move between cells like Excel.
  3. For large classes, tap Download template — you get a pre-filled Excel with admission numbers and student names locked.
  4. Fill marks in Excel, save, then upload via Bulk import. Ketpy validates that no mark exceeds the max-score and flags blanks.
  5. Review the preview, fix any red rows, and tap Confirm import.
  6. Tap Submit for moderation — the HOD/Principal approves before marks become visible to students.

Tip

For CBSE/ICSE schools, set the grade boundaries once under <strong>Exam → Grading scheme</strong> and Ketpy will compute A1/A2 grades automatically.

Start an online (Jitsi) class

No Zoom account, no separate link — launch a class meeting directly from your timetable.

  1. On Dashboard → Today, find the current period card. Tap the Start online class button next to it.
  2. Ketpy opens a Jitsi room with the class name pre-set. Students in that class get a push to join — no link sharing needed.
  3. Use the Share screen toolbar button to project slides or your textbook PDF.
  4. Tap the chalkboard icon to open the built-in whiteboard for live solving.
  5. Use Lobby mode to vet who enters — useful when external speakers join.
  6. When done, tap End class for everyone. Attendance for the live class is auto-logged based on who joined and stayed for at least 50% of the duration.

Log behaviour observations (parent-visible toggle)

Record positive notes, infractions, or counselling observations — choose whether parents see each entry.

  1. Open the student profile from Dashboard → My class → [student name], then go to the Behaviour tab.
  2. Tap + Add observation. Pick a category: Achievement, Discipline, Health, Counselling, Other.
  3. Set the sentiment — Positive / Neutral / Concern.
  4. Type the observation in plain language. Be specific (date, what happened, witnesses if any).
  5. Toggle Visible to parents — keep OFF for sensitive counselling notes that need HOD review first.
  6. Tap Save. Parent-visible positives trigger an instant push to celebrate; concerns are batched into the weekly digest.

Tip

Keep observation language factual and non-judgmental — these notes form part of the student's permanent record.

Apply for your own leave

Casual, sick, or earned leave — apply on the app, see your balance, and let Ketpy auto-suggest a substitute.

  1. Go to Dashboard → My Profile → Leave. The top card shows your current CL / SL / EL balance.
  2. Tap + Apply leave. Pick Leave type, From and To dates, and whether it is a half-day.
  3. Write a brief reason. For sick leave above 2 days, attach a medical certificate.
  4. Ketpy auto-detects classes you would miss and suggests substitute teachers who are free in those periods.
  5. Pick your preferred substitute (or leave it for the HOD to decide) and tap Submit.
  6. Your reporting manager gets a push notification — once approved, your classes are automatically reassigned in the timetable.
